REPORTS TO: Board of Directors through Executive Committee
SUPERVISES: Staff and Member Volunteer Committees
POSITION ROLE: To develop with the Board, goals and management objectives for Southern Wayne County Regional Chamber of Commerce. To manage the Chamber's day to day activities in such a way that the policies and objectives of the Board are carried out through proper communication, public relations and management controls.
AREAS OF RESPONSIBILITY:
1. Public Relations and Communications: To present the highest aims of the Chamber to the community at large in such a manner that will uphold a high Chamber image and insure proper public relations. To exert every effort to fulfill Chamber goals.
2. Administrative: Proper management of staff to achieve Board objectives and completion of any special committee assignments.
3. Financial: Maintain and keep in an accurate manner all necessary books and records relative to daily business. Provide monthly P & L to the board
4. Membership/Retention: Manage sales and Ambassador team to direct new business and maintain relationships with current members.
5. Vision: Proactive planning, changing as needed with technology, industry and economy dictates to manage the yearly strategic plan and monthly marketing/operating plan.
1. Public Relations and Communications:
o Attend and represent the Chamber at local and away meetings while displaying positive leadership abilities at all times.
o Properly promote Chamber aims and activities through media releases as required. Reply to media requests for information. Matters of a sensitive nature shall not be released without the prior approval of the President.
o Speak on behalf of the Chamber.
o Manage weekly Chamber Chat, eblasts, website, calendar, website ads, LED sign, monthly Press releases, Social Media plan relative to membership interest and informational nature of Chamber activities. Manage all events, yearly plan due by Dec for the following year and each event to be promoted at least two months in advance.
o As much as time permits, participate in community organizations and projects.
o Communicate weekly with the Chairman of the Board.
o Prepare grant requests to city and county for assistance.
o Supervise office manager and through that person any additional staff persons. Duties include planning operations, providing additional training, updating office procedures, scheduling meetings, providing necessary interoffice communications approve vacations and assuring that the office operates in a smooth and effective manner.
o Order office equipment and supplies on recommendation of the office manager, major purchases not budgeted, to be approved by the Board of Directors.
o Prepare a monthly report of Chamber activities for the Board.
o Assist budget committee in preparation of annual budget.
o Manage the recording of all cash, check credit card and created monthly receipts and disbursement reports
o Operate Chamber within budget guidelines, with sole aim of achieving maximum results.
o Responsible for all monies involving Chamber operations. Keep treasurer informed as to all financial transactions.
o Manage invoices for each member one month prior to renewal. Update database as needed. Follow board direction for process of touch points and follow up for receipt of dues. Process for
removing non renewals from website, etc. and process for adding new members to website and all materials in timely manner.
o Process for maintaining/promoting sponsorship enhanced packages
o Process for sales to follow up on sales call, research new potential clients etc. Conduct weekly sales meetings to brainstorm new members. Provide visual goals, objectives monthly based on monthly budget.
5. Vision/Proactive Planning
o Monthly review of processes, industry trends, member requests to make sure the chamber is providing the most relevant, timely and usable form of communication/ technology.
o Review Strategic plan to measure growth monthly.
o Implement Market plan monthly.
o Consistent consideration of what are valuable benefits of retaining and recruiting new members.
6. Other Duties:
o Email addressed to Chamber is to be directed to the Board as necessary.
o Make arrangements for all Board meetings. This includes location, date and time.
o Implement all necessary steps as the result of the Board of Directors action.
o Responsible for all correspondence, records, literature, contracts and pertinent documents belonging to the Chamber.
o Conduct must reflect propriety and promote good relations between Chamber employees, chamber members and the general public.
o Actively function in promoting membership development and retention as well as area development.
o Update bi-laws and board and staff job descriptions as necessary.
